Accuracy of Registration

The individual student is responsible for the accuracy and completeness of registration. Students who alter their original class schedule must do so officially, either in the Office of Records and Registration Services or on CLAWS. Those students who do not assume this responsibility are jeopardizing their record by the possibility of incurring an F in a course not properly dropped and/or not receiving credit in a course improperly added.

Any questions regarding the student's registration should be directed to the Office of Records and Registration Services, Room A-203. On-line class information available via CLAWS is real time and accurate. Students are cautioned not to attend a class for which they are not officially registered through the Office of Records and Registration Services. Special care should be taken when registering for a course with multiple section listings that the student attends only the section listed on their official schedule.

Schedules listing room numbers are available through CLAWS (Cougars Local Academic Web Site). Access your personal information by logging on to the University Web site and selecting CLAWS from the Quick Links selection box, or by logging on directly at https://claws.sxu.edu. To access this information you must have a CLAWS login and password. For students without passwords, use the Search for Classes feature to determine room assignments.

Graduation Petitions Due

If you plan to graduate in August or December 2008, you must complete an online petition to graduate. The graduation petition form is now available on CLAWS. Petitions must be submitted on or before January 15, 2008.

All students must complete a minimum of 120 hours in order to graduate. To graduate with academic honors, you must have completed at least 50 graded credit hours (hours taken Pass/Fail, CLEP, Challenge or AP do not count) at Saint Xavier University. Any courses numbered 099 or below do not apply toward graduation. Honors will be determined and recorded on diplomas and transcripts after the receipt of grades.

Students filing after the deadline will be charged a $50 late fee. Students who do not satisfy their degree requirements in time for their petitioned/anticipated graduation term, cannot participate in that term’s ceremony and must renew the petition process when the graduation requirements are met.

All financial obligations to the University, including payments to the Office of Student Accounts, Bookstore, Library, Residence Halls, parking, etc., must be met before a student is eligible to receive a diploma or transcripts. Also, students who receive financial aid must complete exit interviews with the Financial Aid Office before they can participate in the Commencement ceremony. Fall 2008 Registration Information

  • Fall 2008 registration will begin February 28, 2008.
  • Each student will be receiving an email indicating their scheduled registration time.
  • Undergraduate students can login and register anytime after scheduled time listed in their e-mail.
  • Priority students can register anytime after 8:30 a.m. on Wednesday, February 27, 2008.
  • Admitted graduate students can register once the course schedule is posted on CLAWS.
  • In-person registration begins 8:30 a.m. on Friday, March 7, 2008.

Registration Preparation Checklist:

  • Schedule an appointment with your advisor to obtain registration approval.
  • Make sure your CLAWS login works prior to registration week.
  • Research the courses you need prior to registration.
  • Have backup courses in mind if those you want are unavailable.
  • To verify that you have financial clearance to register, please contact the Office of Student Accounts, studentaccounts@sxu.edu.

Note: Admitted undergraduate students must have the approval flag set to "Yes" from their advisor in order to register on CLAWS. Admitted students are not required to make any payment at the time of registration, however all financial obligations to the University must be met in order to register. Any changes made to your schedule on or after the first day of the term will result in a $20 schedule change fee.

School of Education: Admitted graduate students in the School of Education must have their approval flag set to "Yes" from their advisor in order to register on CLAWS.

School of Nursing: Admitted graduate students in the School of Nursing must have their approval flag set to "Yes" from their advisor in order to register on CLAWS.

What Students Should Know About CLAWS

Registration Instructions

Registration – You do not have to get up at the crack of dawn and stand in line for hours, skipping class so you don’t miss your turn, waiting for hours only to find your preferred section is closed or even worse, that you don’t have the required number of hours completed to register. Once you have registered and done the final submission, print your schedule. In accordance with university policy, beginning with the second week of the semester, an instructor’s signature is required to add a class. “Registration” and “add” are the same function on CLAWS. Since that can’t be automated, neither initial registration nor adding will be permitted on CLAWS after the first week of the semester. You may still register and/or add to your schedule either in the Office of Records and Registration Services in the Warde Academic Center on the Chicago Campus or at the Orland Park Campus.

Approval – In order to register on CLAWS, undergraduate students must have the electronic approval of their advisor. You can see approval status by clicking on “Has My Advisor Given Me Registration Approval?” on the Student selection menu on CLAWS. Select the term you want to see and click submit. You will see the name of your advisor, her/his telephone extension, the term requested and whether or not you have been approved. As an alternative, you may bring a signed registration form to either the Advising and Educational Planning Services, A-206 or to the Office of Records and Registration Services, A-203 and electronic approval will be given, allowing you to register on CLAWS for the next academic term. All graduate students in the School of Education must have electronic approval in order to register on CLAWS. All admitted graduate students in the College of Arts and Science, the School of Nursing and the Graham School of Management may register on CLAWS without electronic approval.

Adding Sections – Registration and add are the same function in CLAWS. Beginning with your first eligible day, you may use CLAWS to register or add a course to your schedule. This function will be available until the end of the first week of the term. Beginning with the second week of the semester, you must process any registration or add in the Office of Records and Registration Services or at the Orland Park Campus.

Dropping Sections – You may use CLAWS to drop a course anytime between the first day you are eligible to register and the last day to drop a class. Please be aware that a class may be dropped without academic penalty until the ¾ point of the semester or term (dates to be determined and published each semester by the Office of Records and Registration Services). You are responsible for knowing these dates.

Waitlists – If you register for a section that is waitlisted and a space becomes available, you will be notified via your SXU I-mail account that a space has become available for you. You will then have the option to enroll for this course via CLAWS.  You will have three days to enroll in the course from the time that the email is sent.  If you do not enroll within the three days, you will forfeit your permission to register for this course.

Grade Reports

Grades are available on CLAWS. For all students-at-large and students with tuition reimbursement arrangements, hard copy grade reports will be sent at the conclusion of each term or semester. Any student may request a hard copy of their grades by filling out a request form in the Office of Records and Registration Services, or submitting a request via mail, fax or email. All grade reports will be sent to the mailing address of record.

Passwords

Treat your password as securely as your ATM card. No one can gain access to your records on CLAWS unless you allow it. Your password is encrypted. Once you change it, no one at Saint Xavier University has access to that information. If you loose or forget your password, it must be reset. If you need to have it reset, access CLAWS and click on Students. Click on “Forget Your Password? Request a New One” and fill out the requested information. A new password will be sent to your SXU I-mail account.

Withdrawal / Tuition Refunds

In order to accommodate our diverse population, Saint Xavier University is committed to offering courses in a variety of formats and timelines. The following table reflects refund policies based on the start date of the section:

Contact the Office of Records and Registration Services in Room A-203 of the Warde Academic Center on the Chicago Campus or call (773) 298-3501 for information on specific courses. Students who register for a class are responsible for tuition unless they officially withdraw either in the Office of Records and Registration Services or through CLAWS. Fees are not refundable. Notifying the instructor or ceasing to attend the class does not constitute an authorized withdrawal. An additional fee will be charged for dropped courses resulting from non attendance.

A class may be dropped without academic penalty until the 3/4 point of the semester or term. (Dates to be determined and published each semester by the Office of Records and Registration Services.) A grade of "W" will appear on the record for any class dropped after the official refund date.
